SMLKOC Subcommittee’s

Every subcommittee is responsible for the following:

Choosing its own leadership, scheduling and announcing its meetings, reporting its progress to the full Coalition, taking direction from the full Coalition, proposing its budget and making no financial commitments without full Coalition, assessing volunteer needs and coordinating with the Volunteer Subcommittee, compiling information and providing this to the Media/Social Media volunteers in a timely fashion.

Fundraising:

Solicit donations and/or grants to make sure the Coalition has enough funds to put on a successful event. This includes soliciting donations from the organizations, groups, unions, government entities, and individuals who may want to contribute to the Coalition. Arrange donation collection at event, count donations, and bring to fiscal sponsor.


Logistics:

Generally responsible for security of the events. Assign an event building coordinator. Propose march route, work with city and other entities to obtain permits; work with Metro to have buses to return marchers to the school. Recruit and train peacekeepers for the rallies & march. Purchase or rent needed equipment (bullhorns, radios, etc.). Arrange for sound systems for rallies. Obtain banner for start of march and assign march leaders. Work with police for an orderly march start.

Workshop:

Advertise widely the opportunity for activists to present workshops. Brainstorm workshop ideas relating to the year's theme and recruit leaders for these workshops. Devise online and other ways for proposal submissions. Make recommendations to full Coalition and work with selected workshop leaders for advance information, assign classrooms. Recruit volunteers, produce written materials for handout and posting, arrange for efficient reception of volunteers, presenters, and participants.

Volunteer Coordination:

Work with all subcommittee liaisons to ascertain volunteer needs. Publicize volunteer needs and arrange mechanisms for sign-up. Recruit volunteers as needed and track all volunteers recruited by others. Coordinate with subcommittees about communicating to, training, and thanking volunteers.

Program:

Organize the pre-march rally in the gymnasium and the post-march rally. Solicit recommendations for rally participants, brainstorm additional participants for a diverse line- up in sync with the year's theme, make proposals to full Coalition, invite participants, confirm attendance, and give out needed information. Create a time-line of participants, produce printed materials. Assemble information for advance publicity. Coordinate with logistics for stage management, timekeepers, special purpose areas around stage.


Food: 

Contact restaurants and vendors for donations and discounted purchases of food, beverages, and supplies; place orders; arrange delivery schedule of food; work with Seattle Public School food employee(s), recruit volunteers, prepare and serve food; and clean up. Arrange for donation of any leftover food. Arrange for minimal waste and manage compost and recycling streams.

TMC (Technology, Marketing and Communications):

Identify local media contacts and publicize the event. This includes sending out press releases, creating PSA's to be aired on the radio and the internet. Arrange media interviews with the executive team. Coordinate with Chair or other designated spokespersons for the Coalition days prior to March/rally & the day of the March and rally. Maintain website and/or social media accounts (Facebook, Twitter, etc.) Monitor email received by Coalition, answer or refer as needed.

Flyer/Placard/SWAG production

Support design of flyer and placard, liaison with artist, liaison with printer(s), assembly and transport of placards. Partner with T- shirt Vendor to track sizes, costs and distribution of coalition t-shirts.


Outreach: 

Inform the community about the event. This may include mailing flyers, putting up posters, calling up individuals and groups, interpreting flyer materials into other languages (partner with Executive team/theme designer) and identifying other ways to assure maximum turnout at the event. Contact college and high school organizations, especially Black Student Unions, and other youth of color organizations.

Young Leaders:

Organize an annual youth & family event (formerly Hip-Hop show), which precedes and serves as a Kickoff to MLK Day events. Recruit performers who are appropriate to honoring Dr. King. In conjunction with Media Subcommittee, publicize event. Arrange for venue, volunteers (partner with volunteer subcommittee), refreshments, setup, cleanup. Involve community youth in all stages of planning and implementation.


Career and Opportunity Fair:

Arrange for schools, unions, and employers with training and/or employment opportunities to table. Arrange for equipment and volunteers to help with resumes and job applications. Advertise the event. Track participation and results.

Access and Accommodations:

Make events more accessible to all participants including deaf/hard of hearing, visually impaired, mobility impaired. This could include arranging for language translation, ASL interpretation, personal sound amplification equipment, volunteers to accompany certain participants, vehicles in the march for mobility-limited people, etc. Research what could be offered, make a proposal, advertise availability, implement.
